Terms and conditions of events organised by the Polish Chamber of Chemical Industry

I. GENERAL PROVISIONS AND DEFINITIONS

1. These Terms and Conditions set out the rules for participation in Events organised by the Polish Chamber of Chemical Industry.

2. The organiser of the Events is the Polish Chamber of Chemical Industry, with its registered office in Warsaw at ul. Śniadeckich 17, 00-654 Warsaw, entered in the register of entrepreneurs and the register of associations, other social and professional organisations, foundations and independent public healthcare institutions maintained by the District Court for the Capital City of Warsaw in Warsaw, 12th Commercial Division of the National Court Register, under KRS number 0000015704, NIP 5262170390, REGON 010954571 (the “Organiser”).

3. Whenever these Terms and Conditions refer to:

  • Ticket – this means a document or confirmation entitling its holder to participate in an Event;
  • Participant – this means a natural person participating in an Event, including a consumer within the meaning of the provisions of the Civil Code and a natural person concluding an agreement directly related to their business activity where the content of that agreement indicates that it is not of a professional nature for that person;
  • Event – this means a Conference, Congress, Forum or another event organised by the Organiser.

4. The Organiser is the controller of the personal data of Event Participants. Detailed information on the processing of personal data is available here.

II. REGISTRATION

1. Registration of Participants opens on the date indicated on the dedicated Event website. Registration will not be possible after the deadlines set by the Organiser.

2. Participation in Events may be subject to a fee, which the Organiser will indicate in each Event description.

3. The Organiser does not provide accommodation for Participants. The Organiser undertakes, where possible, to inform Participants about available accommodation near the Event venue.

4. Event registration procedure:

  • Persons interested in participating in an Event complete the Participation Declaration available at: https://rejestracja.pipc.org.pl/rejestracja. The Organiser provides links redirecting users to the registration page from its main website at: https://www.pipc.org.pl/.
  • The Declaration will be sent to the Organiser automatically after clicking the “Submit registration” button at the final stage of the purchasing procedure, which constitutes making a reservation.
  • Where registration requires payment, the Organiser’s ticket purchasing system will automatically generate a pro forma invoice, which will be sent to the email address provided in the Participation Declaration.
  • The pro forma invoice serves as the basis for payment for the Ticket. Payment should be made within 3 days of the date of issue of the pro forma invoice.
  • Once payment has been made, the Participant will receive confirmation of payment and notification of their inclusion on the list of Event participants, sent to the email address provided in the Participation Declaration.
  • If payment is not made within the period referred to in point (e), the reservation will be automatically cancelled after a single prior reminder of the need to make payment generated by the registration system.
  • The Organiser permits payment by instant bank transfer, BLIK, payment card or mobile payment. In such a case, at the interested person’s request, the Organiser’s ticket purchasing system will redirect that person to the payment intermediary’s system to complete the transaction. Following payment, the system will automatically generate an invoice confirming the purchase of the Ticket.

5. Any problems concerning the Event registration procedure may be reported to the Organiser from Monday to Friday by telephone at 22 828 75 06 between 8:00 a.m. and 4:00 p.m., or by email at media@pipc.org.pl.

6. The Organiser reserves the right to limit the number of Tickets entitling holders to participate in an Event. Priority in purchasing a Ticket will in each case be determined by the date on which payment is credited to the Organiser’s account operated through the electronic ticket sales system.

III. CANCELLATION OF PARTICIPATION

1. A Participant who is a consumer may withdraw from a distance contract within 14 days of its conclusion, unless, before the expiry of that period, the Participant has expressly consented to the commencement of the service and acknowledged that, once the service has been fully performed by the Organiser, the right to withdraw from the contract will be lost, in accordance with applicable consumer law. A declaration of withdrawal or cancellation may be submitted to the Organiser’s correspondence address or electronically to: media@pipc.org.pl.

2. If a Participant cancels their participation in an Event after the deadline for withdrawal from the contract, the Organiser may deduct only justified costs actually incurred in connection with organising the Event, taking into account the date of cancellation and the scope of services that cannot be cancelled or refunded.

  • up to 50% of the Ticket price – if cancellation is submitted less than 14 days before the Event, provided that the Organiser demonstrates that it has incurred costs in that amount;
  • up to 100% of the Ticket price – if cancellation is submitted less than 3 days before the Event or if the Participant fails to attend the Event, provided that the Organiser demonstrates that it has incurred costs corresponding to that amount and that the service could not be used by another person.

4. The Organiser undertakes to notify Participants promptly in the event of:

  • cancellation of the Event, which entails an obligation to refund all Ticket fees paid and to correct the accounting documents issued;
  • postponement of the Event, which entails an obligation to refund all Ticket fees and to correct the accounting documents issued if the Participant cancels participation in the Event because of the change of date.

5. The Organiser will not cover any costs incurred by a Participant in connection with the Event other than the Ticket fee, in particular travel costs, accommodation costs or lost profits, unless mandatory provisions of law provide otherwise.

IV. PARTICIPATION COSTS AND PAYMENT TERMS

1. The Ticket price list is included in the Event description.

2. The Organiser is an active VAT taxpayer authorised to issue VAT invoices.

3. VAT invoices are issued within 7 days of the date on which the Ticket fee is recorded.

4. All payments shall be made by bank transfer to the Organiser’s bank account within the deadline specified in detail in the pro forma invoice issued to the Participant.

V. ORGANISING COMMITTEE

1. All decisions concerning the Event Programme and organisational matters are taken by the Organising Committee.

2. The composition of the Organising Committee is determined by a Decision of the President of the Management Board of the Polish Chamber of Chemical Industry.

VI. COMPLAINTS

1. All complaints concerning the costs of participation in an Event, the payment process or services provided by the Organiser should be submitted to the Organiser’s correspondence address or electronically to: media@pipc.org.pl.

2. Complaints will be examined by the Organiser within 14 days of their receipt by the Organiser.

3. The Organiser will inform the Participant of how the complaint was resolved at the correspondence address or email address specified in the complaint.

4. A complaint should contain at least the Participant’s full name, contact details, a description of the circumstances forming the basis of the complaint and the Participant’s request, if it can be specified.

VII. FINAL PROVISIONS

1. Materials and organisational information concerning the Event will be published on the dedicated website.

2. The Organiser reserves the right to amend these Terms and Conditions for important reasons, in particular in the event of changes in legal provisions, security requirements, the organisational arrangements of the Event or the need to clarify procedures, provided that the amendment does not infringe Participants’ acquired rights or worsen their situation in a manner contrary to mandatory provisions of law.

3. The Organiser reserves the right to introduce changes to the Event schedule and to cancel the Event if external circumstances beyond the Organiser’s control make it impossible to hold the Event.

4. Any subsequent amendments to these Terms and Conditions shall take effect on the date of their publication on the Organiser’s website, i.e. www.pipc.org.pl, and on the dedicated Event website, unless the amendment specifies a later effective date. Participants who registered before the amendment to the Terms and Conditions will be informed of the changes in a manner enabling them to review them before the Event.

5. Matters not regulated by these Terms and Conditions shall be governed by generally applicable provisions of Polish law, in particular the Civil Code, the Consumer Rights Act, personal data protection legislation and regulations concerning the organisation of events
